IT Operational Review

As part of the IT Operational Review, RNR Consulting analyzed the San Antonio Housing Authority’s (SAHA’s) retention policies and procedures, disaster recovery plan and technical specifications associated with the SAHA’s e-mail servers.

To determine the sufficiency of SAHA’s contingency policies and procedures, RNR Consulting analyzed SAHA’s Disaster Recovery Plan and conducted interviews with the SAHA’s Vice President of Information Technology (IT), the IT Manager and IT Specialists. After conducting our analysis of the interview information, RNR Consulting analyzed SAHA’s Microsoft Exchange application, SAHA’s Disaster Recovery and Contingency Plan, Electronic Records Retention Policies and Procedures and the Technical Specifications of SAHA E-mail Servers. The summaries of these analyses allowed RNR Consulting to identify key findings and develop several best practice recommendations for improving SAHA’s contingency policies and procedures.

While analyzing SAHA’s Disaster Recovery Plan, RNR Consulting reviewed SAHA’s electronic retention policies and retention schedule. RNR Consulting compared SAHA’s then-current retention procedures against local, state and federal retention requirements and reviewed SAHA’s compliance with its own internal policies, historically.

Also, during the review of SAHA’s e-mail server technical specifications and e-mail account deletion procedures, RNR Consulting analyzed the authority’s historical policies and procedures for deleting e-mail accounts and e-mail retention policies.

RNR Consulting developed a final report which presented best practice recommendations for contingency planning and disaster recovery, retention policies and schedules and reported on the technical specifications of and deletion procedures of SAHA’s e-mail servers.
